Q: When a user sends an email from NetSuite, who is it ‘on behalf of’? How can we modify the same?
Hello again.
There is always some confusion, expressed by users or decision-makers, on the “From Email address” on transaction emails.
The question is “When a user sends an email from NetSuite, who is it ‘on behalf of” ? How can we modify the same?
Well, let’s have a look.
- Navigate to Setup -> Company -> Email Preferences
- Under Transactionssection –> set FROM ADDRESS FOR EMAILED FORMS to either:
- User Email Address
b. Company Return Email Address - Click Save
To Setup the Email Address for the following:
User Email Address
Navigate to Home –> Set Preferences –> General tab -> User Profile section -> From Email Address = add email address here > Save.
Note: This setting is user specific only.
If no email address is entered in Home-> Set Preferences-> General tab-> User Profile section> From Email Address field, emails will be sent using the user’s login email address.
Company Return Email Address
Navigate to Setup-> Company –> Company Information –> Return Email Address change it to the should be email address > Save.
Note: Changing this affects the whole company From Email Address.
Now some rules on this:
1) In order for the Company Return Email Address to be the From Email of a transaction the following should be set:
Setup -> Company -> Email Preferences -> Transactions section: From Address for Emailed forms: Company Return Email Address
Result: The From Email Address is the Company Email set under Setup -> Company -> Company Information: Return Email address
2) If User Email Address is selected instead of Company Return Email Address under Setup -> Company -> Email Preferences -> Transactions section: From Address for Emailed forms,
then there should be an email set under the profile section of Home -> Set Preferences -> General Tab.
Result: The From Email Address that will show up in the email will be the From Email Address set by the user under Home -> Set Preferences
3) If User Email Address is selected under Setup -> Company -> Email Preferences -> Transactions section: From Address for Emailed forms and no Email Address and Nickname was set under Home -> Set Preferences -> General Tab
Result: The From Email Address will be: [Company Return Email Address] ‘on behalf of’ Company Name [User Login Email]
4) If User Email Address is selected under Setup -> Company -> Email Preferences > Transactions section: From Address for Emailed forms and no Nickname was set under Home -> Set Preferences -> General Tab
Result: The From Email Address will be: [Company Return Email Address] ‘on behalf of’ Company Name [User Login Email]
Now, for OneWorld Accounts, where Subsidiaries come into play, we have another option under:
Setup -> Company -> Email Preferences -> Transactions section: From Address for Emailed forms: Subsidiary Return Email Address
Subsidiary Return Email Address – Email forms generated in NetSuite are sent using the email address defined in the Return Email Address field at Setup -> Company -> Subsidiaries.
This option is useful when you have many subsidiaries and you send forms to your customers and vendors using email. You can use this setting to be certain that customers or vendors reply using an email address from the appropriate subsidiary and the information is delivered where it belongs.
If there is no email set on the Subsidiary Record but “Subsidiary Return Email Address” is set under Email Preferences page? The Return Email Address set on the Company Information page will be used
